INVOICE PROCESSING & INVENTORY AUTOMATION
THE PROBLEM, AND WHAT CHANGES
Every delivery arrives with an invoice: 20, 50 or 100 lines from dozens of suppliers, each with its own layout, item codes and pack sizes.
Every line has to reach your POS with your item code, the right unit count and the right cost, before that stock goes on the shelf.
You upload the invoice. It recognizes the supplier, reads every line, matches each item to your item list, converts cases to units and checks the total.
You check only the lines it flags (on the 38-line invoice above, one new item), approve, and import one file into your POS. At 45 minutes to key an invoice and 10 to review it, that is 35 minutes back on every invoice. Try your own numbers below.

HOW IT WORKS
Drop in the invoice PDF, digital or scanned. The supplier and its layout are recognized automatically.
Every line is extracted, matched to your item and UPC, and cases are converted to selling units.
Only new items, unclear reads and totals that don't add up are flagged. Fix them in one screen, then approve.
Send it straight to Odoo, or download the import file for your POS or online store, plus a printable receiving PDF.

CONTROL
Nothing leaves the app until a person has reviewed and approved the invoice.
We hand you an import file. The app never signs in to, or changes, your POS.
Each invoice keeps its original PDF, so any line can be traced back to the paper.
Your team signs in to its own workspace; your invoices and item list are not shared.

Yes. Digital PDFs are read directly, and scanned PDFs go through text recognition (OCR). Scan paper invoices to PDF and upload them the same way.
Odoo, Sage, Thrive and XCite, other POS systems, and e-commerce platforms such as Shopify and WooCommerce. In Odoo the app creates the purchase order, receipt and draft vendor bill for you; the others take an import file. Using something else? Tell us what you use.
The line is flagged for review and keeps the supplier's barcode, so nothing is lost. Add it to your item mapping once and it matches automatically on every later invoice.
No. Every invoice is reviewed and approved first, and the app hands you an import file. Nothing changes in your POS until you import it.
Send us a few recent invoices from your main suppliers and an export of your item list. We set up your suppliers and item matching, then your team starts uploading.
